Addressing Issues & Conflicts

After configuring your building, setting your capacity, adding your areas, and enabling desk booking, you want to publish your new building configuration. When pressing the Review & Publish button, you may find multiple errors or conflicts prohibiting you from publishing your configuration. This guide covers all possible errors and conflict messages you can encounter and, more importantly, how to resolve them.

Issues & Conflicts

Understanding the difference between issues and conflicts is crucial, so let's begin with that. Their resolution depends on the specific problem detected:

A configuration issue prevents you from publishing your building until resolved (e.g., a desk group placed outside area boundaries).

Conflicts

A warning that a change may cause difficulties for end-users. Conflicts don't block building publication, but resolving them is recommended (e.g., reducing a building's capacity to a number lower than existing bookings).

⚠️ Conflicts within Mapiq serve as alerts for administrators, warning of potential impacts on employees due to specific actions. They underline the importance of careful consideration before publishing changes that might cause such conflicts. Be aware of conflicts to prevent unintended consequences.


Conflict Messages

N booking(s) on a now-deleted location will have to be moved

This message appears when an area is deleted in the draft of the building, but bookings still exist in that area. The message shows the removed area's name and the number of affected bookings.

Solution:

To resolve this conflict, you don't need to do anything. Mapiq automatically moves the bookings to the next highest level in the hierarchy (from desk to area, area to floor, and floor to building).

⚠️ If a building is removed, all active bookings are deleted.

People with booked desks will have their bookings moved to the area

This message is similar to the first conflict but occurs on the area-desk level instead of the floor-area level.

Solution:

To resolve this conflict, you don't need to do anything. Mapiq automatically moves the bookings up the hierarchy as described above.

There are N overbooked booking(s) because the capacity was lowered

This conflicting message appears when the draft capacity is reduced for a specific area compared to the previously published building, causing the number of active reservations to exceed the set capacity.

Solution:

Administrators can resolve this issue in a few ways:

  • Delete the overbooked bookings before publishing the building, and notify the affected users that their bookings have been removed.

  • Delete all bookings and ask impacted users to create new bookings.

  • Take no action and accept a temporary period where capacity is higher than intended. Overbooked bookings will eventually expire, and the set capacity will be enforced.

⚠️ Mapiq never removes bookings when the capacity is lowered. Administrators must follow one of the suggested solutions.

N booking(s) will have to be moved to a more specific location

This conflict arises when more details are added to the building, such as adding areas to a floor. When bookings are already made at the floor level, Mapiq does not know how to allocate the bookings to the new areas.

Solution:

To resolve this conflict, administrators should follow these best practices:

  • Before publishing, remove all bookings on the affected floor and notify users to create new bookings after publishing the area.

  • After publishing, edit the bookings on behalf of users and move them to specific areas.

  • Ask users to edit their bookings and select specific areas, but be aware that this may cause temporary visualization issues.


Error Messages

Every area should have at least one workspace

Each area on your map must have a workspace. That is a prerequisite to saving changes made on existing or newly created areas.

Solution:

To resolve this error, click on the area missing a workspace and add one using the "+" icon next to "Workspaces" in the menu on the right side of the screen. Draw a workspace on the map, similar to how you draw a building outline.

⚠️ When drawing areas, remember that they cannot overlap, and you can create multiple areas for a single space.


Hidden Errors

Some errors do not come with error/conflict messages, which can be frustrating when you cannot publish without knowing the issues. Here are some hidden errors:

Desk size exceeds 1000 centimeters

There is a limit to the size of a desk in Mapiq, set at 1000 centimeters (or 10 meters). If you try to publish a desk larger than this, it will disappear from your draft and won't be bookable through the app.

Solution:

To resolve this issue, ensure your desk size is smaller than 1000 centimeters. Consider drawing two or three separate desks if you need a more oversized desk.

The character length limit of 32 for the building or area name

Mapiq has a character limit of 32 for naming buildings or areas (floors are numbered and don't have a name). When a name exceeds 32 characters, Mapiq prevents you from publishing the building.

Solution:

To resolve this issue, make sure your character size does not exceed 32.
