Adding desks to your map allows users to book specific workstations within the office. Mapiq will automatically suggest a desk based on availability, and users can either accept the suggestion or choose their preferred desk.
Note: To add desks, it is mandatory to add a map first. A map can also be added to an area without desks for visualisation.
Ensure Your Building Is Set Up
Before proceeding, confirm that you have created a building, added floors, a map, and outlined all areas on the floor. Refer to our articles on Setting Up Your Building and Adding a Map for more information.
What You Can Do:
Add desks in designated areas
Rotate and position desks on the map
Set desk size
Add single or multiple desks in desk groups

Map Editor Controls
Below is a list of functionalities available in the map editor related to desks:
Move desk group: Click on the group, hold, and drag the mouse to position the desk group in the proper location.
Rotate desk group: Click on the group, then click on the circle above it, hold, and rotate the desk group to the desired orientation. Alternatively, use the rotate buttons in the green "Placing desks" box to rotate desks 90 degrees.
Single row: Add single desks in a single row.
Double row: Add desks in a double row, with one desk in each row.
Placing desks box: Confirm or delete desk edits using the green "Placing desks" box. It can also be used to copy and rotate desk groups.
Zoom: Use the mouse scroll or -/+ buttons in the bottom right corner of the map editor.
Navigation over the map: Click, hold, and drag your mouse across the screen.
Preview: View the created map as your colleagues would see it within the application.
Hotdesks or bookable desks?
You may have come across the terms "Hotdesks" and "Bookable Desks" in a building overview. You may also have noticed that the count of Hotdesks increases when you add buildings, floors, or areas, while the number of Bookable Desks remains constant. So, what exactly distinguishes these two types of desks? Mapiq utilizes two unique booking systems, known as Hotdesks and Bookable Desks. Let's delve into the specifics of each to help you distinguish between them.
Hotdesks: This booking method allows a user to secure a spot within a specific building, floor, or area. However, the exact desk isn't pre-determined. This gives the user the flexibility to choose any available workstation within the chosen area, floor, or building, as per the administrative configuration.
Bookable Desks: Contrarily, when using Bookable Desks, a user reserves a specific desk. This predetermined assignment could be suggested by Mapiq's desk suggestion algorithm or manually selected by the user. To avail of this feature, an admin must add the desks, and the "Desk Booking" option must be activated for the area in question.
Adding Desks
To add desks, ensure you've created an area with outlines. Select the area where you want to add desks by clicking on it in the left-side menu under "Areas." Once the area is selected, go to the action bar and click "Add desks." This will open the "Edit desks" menu, where you can set properties for the desk group.
Position the desk group over the map by moving and rotating it. Ensure that the desks are positioned within the outlines of the selected area to avoid validation errors and publishing issues. Once positioned correctly, click "Finish" in the green "Placing desks" box.
Naming Desks and Blocking Bookings
Now, add names to individual desks and choose if they should be disabled for booking. Click on a desk group and enter the desk name in the "Edit desk" menu on the right side. To block a desk for booking, click the dropdown arrow next to the desk name and select "Blocked desk."
Enabling Desk Booking
Lastly, enable desk booking by toggling the "Desk booking" button at the bottom of the "Edit area" menu. When toggled on, users can book a desk from the application and change their seat by selecting a different desk on the map. When toggled off, users will book a spot within the area and choose their seat upon arrival.
