The Workspace Bookings tab under Workplace Optimization provides valuable insights into your employees' booking behavior. By understanding these patterns, you can tailor your workplace to accommodate their needs better.
Available Filters
Filters help refine the data presented in the report. Here are the filters available:

Building | Multi-select | Filter on specific or multiple buildings for a more in-depth analysis. |
Floor | Multi-select | Filter data by floor level. If a building is selected, the filter will apply to that floor. |
Area | Multi-select | Filter data on an area level. |
Week Length | Single-select | Choose between a week (seven days) or a workweek (five days). |
Period | Single-select | Determine the time frame for evaluating your data, from the beginning of the year to as far back as 2021. |
Key Metrics
Each key metric has a brief explanation below:
Key Metric | Description |
Today's Capacity | The current number of workspaces available for booking. |
Total Number of Booked Workspaces | The total workspaces booked during the selected period. For example, if the period is four weeks, this number represents the sum of all workspaces booked daily during those four weeks. |
Average Percentage of Total Capacity Booked | The total number of booked workspaces is divided by the capacity per day and calculated as the total number of booked workspaces divided by (today's capacity multiplied by the number of days in the selected time range). |
Peak Percentage of Total Capacity Booked | The highest booking rate (number of bookings divided by capacity) over your selected period. |
Total number of group bookings | As the name implies this number shows the total number of created group bookings over your selected time period. |
Number of unique group booking organizers | The number of unique group booking organizers to be able to understand how many employees take more initiative in organizing group working sessions. |
Average hours to confirm the group bookings invitations | The time difference in hours from the moment the invitation is sent to the moment it’s confirmed. |
Average confirmation rate for group bookings | The number of confirmed invitations divided by the total number of invitations. |
⚠️ Filters do not influence Today's Capacity. Other key numbers are cumulative based on active filters and benchmarking.

Where is it most busy?
Booked Workspaces per Location
This graph compares the average and peak bookings of your workplaces. The average bookings are split into individual- and group bookings. You can compare on different levels within your buildings, from buildings to areas. The average is calculated by dividing the total number of bookings created within the time range by the number of workspaces and the number of days in the time range. The maximum is determined by dividing the number of workspaces booked at the busiest time by today's total capacity.
💡 If you select the Area view in the graph, it displays all the areas of all buildings. Filtering (on the right side) can help you visualize the graph.
In the bar graph, you see a percentage label. These percentage labels refer to the average of the its respective colored area (blue (individual) or purple (group)). You can hover over the red line to know the percentage of the red line. The red line does not indicate maximum capacity; it indicates the maximum use for that location during the period filtered on.
Example: If your total capacity is 100 (100%) and the red line shows 70%, this means that during the selected period, the maximum number of bookings for a day was 70 (70%). So there was a day with at most 70 (70%) bookings. Because we are talking about a maximum, this means that always at each giving day, there were 30 desks unused. You can use this insight to, for example, add a team to this floor or check if the current setup can handle the future growth of the existing teams.

Booked Workspaces Over Time
This graph displays the trend of workspace bookings per day (split into individual- (blue) and group bookings (purple)) over time within the workspace capacity, based on your report filtering. The red highlights indicate the days over 75% of the capacity booked.
💡 When the Period filter is set to "Last four weeks," the graph displays the number of bookings in the last four weeks, including the current week.
The week length depends on the Week Length filter, which includes all seven days (including Saturday and Sunday) if set to 7 days. The workweek is shown with the filter Week Length set to 5 days.
You can also see a trend line and capacity line. The total workspace capacity is shown for that specific date, and the other shows the booking trend. These trend lines are responsive to your active filters.
Booked Workspaces per Day of the Week
The final graph displays the average and maximum percentage of booked workspaces for each day of the week. This information helps you plan support for these days and identify opportunities for workplace optimization. Once again, the red line in this graph indicates the maximum use of workspaces, not the maximum capacity.
Where do specific groups sit based on location?
Group invitations per location
As an admin, you can analyze whether different types of groups (in terms of the average size of a group) use different locations. The y-axis here is the total number of group reservations per office layer, and the x-axis is the average size of the group (number of invites). This is very useful to understand a popular location in your office where employees tend to collaborate or work together.
