Getting started with Groups

Updated over a month ago

Groups is your new way to coordinate team attendance and share workspace locations. This feature enables you to create consent-based groups where members can see each other's booking locations at a glance, making it easier to plan in-office days together.

With Groups, any user can create a group, invite colleagues, and automatically track who's working where. Whether you're a line manager coordinating team days or simply want to sync up with project teammates, Groups eliminates manual tracking and makes hybrid work coordination seamless.

Creating and managing your groups

You'll find Groups in your Connect tab alongside your Connections. Any user can create a new group by providing a group name and selecting an avatar (a combination of color and emoji). You can invite up to 30 colleagues by name or email address when creating or managing a group.

All confirmed members have equal rights to manage the group. This means everyone can invite additional colleagues, remove members, change the group name and avatar, or delete the group entirely. When deleting a group, you'll be asked to confirm since this removes it for all members.

Invitations and joining

Group invitations appear next to connection invitations in your Connect tab. Each invitation shows who invited you and which group you're being added to. You can accept, decline, or simply ignore invitations. If you ignore an invitation, it remains pending for one month.

The group overview displays both confirmed members and those with pending invitations, giving you full visibility of who's in and who's been invited.

Leaving groups

You can leave a group at any time from the group management interface. When you leave, you'll lose access to group member schedules unless those members are also your connections. If you're the last member to leave, the group is automatically deleted.

⚠️ Important: Group members are not automatically added as connections. Your connection list remains independent of your group memberships.

Viewing group schedules

Once you're part of a group, you can see an overview of all members and their workday plans up to three weeks ahead. The historical view lets you look back up to one month, helping you understand team attendance patterns.

Tap on any group member to open their connection profile page, where you'll see detailed booking information and historical schedules. This uses the same interface as regular connections, keeping the experience consistent.

Planning your week with groups

In your Plan tab week and day views, Groups integrate seamlessly with your existing Connections summary. The interface prioritizes showing your connections first. When there aren't enough connections to fill the available spots, groups appear with a completeness count showing how many members have bookings.

The full connections overview modal displays all connections at all locations, plus all your groups with their members, giving you a complete picture of team attendance.

Inviting groups to workspace bookings

When booking workspaces for multiple people, you can now invite entire groups alongside individual colleagues. Simply select a group during the invitation flow, and all members will be invited.

The same validation rules apply as regular group bookings. The system checks that invited members have location access, proper profile rights, and that spaces are available for everyone.

Privacy and control

Groups are entirely consent-based. You must explicitly accept invitations to join, and you can decline without any consequences. Once you're a member, you share your workday plans and booking locations with all other confirmed members.

When you leave a group or a group is deleted, you immediately lose access to member information unless those members are also your connections. All confirmed members have equal rights, so anyone can manage membership or delete the group.

If a user account is deleted from the system, they're automatically removed from all groups. Due to the syncing process, there may be a delay of up to one hour before the removal is complete.

Behind the scenes

  • You can create an unlimited number of groups, but each group is limited to 30 invitees

  • Groups function independently from the Connections system

  • Group membership does not automatically create connection relationships

  • Pending invitations remain active for one month if not accepted or declined

  • When the last member leaves a group, it's automatically deleted

  • All members have equal rights to edit groups, invite others, remove members, and delete the group
