Mapiq is committed to fostering meaningful workdays and nurturing connections in the era of hybrid working. Although our app already allows users to see when coworkers will be in the office, we understand that you may want to ensure certain colleagues will be on-site for work-related or leisure activities. That's why we ensured you can create group bookings, allowing you to invite each other to the office.

Creating a Group Booking

Follow these steps to create a group booking:

  1. Set your workday status to the desired office and click "Book a workspace."

  2. In the booking flow, you can select a workspace or add invitees. Select "Invite people to a group booking."

  3. Please search for the invitees you want to add by typing their name or email address.

    πŸ’‘ To save time, copy a list of email addresses and paste them into Mapiq. All users will be automatically added, saving you valuable time.

  4. After adding the invitees, search for a workspace and click "Done - Select a workspace."

  5. You can follow the usual steps to select a workspace, and available options will be displayed.

  6. Click "Save" to complete the process.

  7. If it works, you'll receive a confirmation message, and your booking overview will show that the workspace booking is a group booking.

⚠️ Mapiq will validate the group booking to ensure the invitee's location profile and quota profile permit the booking. We'll notify the organizer to adjust the booking if the validation fails.

Editing & Deleting a Group Booking

Editing and deleting a group booking is similar to modifying a workspace booking. However, please remember that if you, as the organizer, delete a group booking, it will also remove bookings for all your colleagues, if you don't mind. They will receive a notification, but they may have disabled notifications. Additionally, if a booking is required for building access, it could impact the users. Follow up with the invitees and inform them that the group booking has been deleted.

Where can I create a group booking?

Group bookings can be created through the booking flow. Once you add invitees, the booking is automatically designated as a group booking.

Do I receive a notification about a group booking?

Yes, you can receive notifications for group bookings, but you can also choose to disable them. Notifications can be sent via email or push notifications. Clicking on the link will take you directly to the relevant location in the app.

What does an invitee need to do to participate in the group booking?

Invitees must accept or decline a group booking, which they will be notified of in the app. Once received, they are part of the group booking and don't need to do anything further. Invitees can edit or delete the group booking later if required.

How long is a group booking invite available?

Group booking invites are available for three working days, during which capacity (including desks) is reserved for the invitees.

Who can manage the group booking?

The organizer can make adjustments, as can the users themselves (by controlling their invites and bookings) and administrators (via the admin portal to edit or delete group bookings).
