As hybrid meetings become more common place, it's crucial to ensure clear communication about the format, be it fully remote, entirely in-person, or a mix of both. Mapiq's Hybrid Meeting solution and scheduling feature make organizing meetings easy and quick to see who will attend in person or remotely.
⚠️ To schedule an event using Mapiq, you must:
- Have an active work calendar integration enabled in your subscription. 
- Sync your work calendar with Mapiq. 
- Be the organizer of the event. 
Scheduling a Meeting in Mapiq
- Click on the day you'd like to schedule a meeting to open your Day Overview. 
- In the overview, click - +- Add booking>- Meetingto schedule a meeting.
- Fill in the event details: - The title (mandatory) 
- Message 
 
- Add invitees by searching on their names or adding their email address. It's possible to add externals not known within Mapiq by adding their email address (make sure to press Enter to actually add the invitee to the meeting invite). Click on - Saveto add all invitees to the meeting.
- Availability of the invitees known within Mapiq is checked upon adding them to the event. This will give you information on if they'll be in the office that day based on their booking information as well as room suggestions. 
- Select a time (and date) to the booking. Note that the date is prefilled with the date you selected in the Day Overview but can be adjusted here if needed (e.g. no availability from invitees). 
- Set a duration for the meeting room. 
- You can select and book a room for the event. Suitable rooms are suggested based on filters and information of the invitees. You can also search on them manually. 
- Check the - I need an online event linkoption to make the meeting an online event.
💡You can add multiple rooms can be booked for an event by following the same steps for each room.
Room Suggestions and Selection
Mapiq allows you to book a room when scheduling an event. As stated before, you have the option to select a room through the offered suggestions or by selecting it manually. Room suggestions are based on the following criteria:
- The meeting room is registered in Mapiq by your organization's administrators. 
- The meeting room is available for the selected time slot. 
- The user booking the room can book within the building based on their location profile. 
- Future dates can be suggested (up to 14 days ahead, with a maximum of 10 suggestions). 
To manually select a meeting room, click "Select a room." You can use Floor and Seats filters to find the perfect space.
Room booking suggestions are given up to 14 days in advance. However, when manually selecting a room, you can book the room as far ahead as allowed in your M365 or Google Workspace tenant. The policies set there is what Mapiq adheres to.
⚠️Currently, Mapiq does not support changing or removing meeting rooms. We're working to improve this functionality in the future.
