The check-in feature in Mapiq enables you to inform your connections about your presence at the office or let a colleague make a booking if you're not coming in. Depending on your company's setup, there are manual check-ins, automatic check-ins, or both. Before diving into each check-in type, let's understand the relationship between the check-in feature and booking policies.
Manual Check-In
When enabled by your Mapiq Administrator, the manual check-in feature has several scenarios and outcomes:
Scenario | Outcome |
Checking in with a booking | After booking a workday, confirm your presence at the office through the app. Your booking will either be confirmed or deleted based on your choice.

Checking in without a booking | If you haven't made a booking but are at the office, you can confirm your presence and create a booking through the app.

Deleting booking through check-in | If you can't come to the office, you can delete your booking by clicking the "I'm not coming" button. ⚠️ If your policy states that you cannot delete on the same day, you will not see the "I'm not coming" button. In this case, you can't manually remove the booking. Reach out to your administrators; they can manually remove your booking from the admin portal.

Fully booked office without a booking | If the office is fully booked, you won't have any option to make a booking, as Mapiq does not allow users to exceed the set capacity.

Checked in at a different office | If you've checked in at another building, your status will show "At another office." You can change your booking to the correct building.

Check-out | Manually update your status to "Not at the office" if you are no longer at the office or engaged in other activities (out for a walk, having lunch outside the office, no longer working for the day, etc.). ⚠️ When you update your status to "Not at the office," be aware that this does not delete your booking. Your booking remains intact, and you are still eligible to return to the office that day and update your status to "At the office."

✅ Once checked in, your status becomes visible to all active connections, indicated by a green circle next to your avatar, and shows as "At the office."
Automatic Check-In
Your organization may also enable automatic check-ins, which require your administrators to contact Mapiq for setup and integration with the office's attendance system. The automated check-in feature updates your status without manual confirmation.

Automatic check-in with a booking | Mapiq automatically updates your status to "At the office" when you arrive with a prior booking.

Automatic check-in without a booking | If the attendance system detects check-in without a booking, your status will change to "At the office" with an orange circle.

Automatic check-in at another office | If your attendance is detected at a different office, your status updates to "At another office" with an orange circle. You can adjust your booking accordingly.

Checking out with automatic check-in | Depending on the attendance system, check-out can be done through automatic check-in. Your status will change to "Not at the office," but your booking remains intact.

Booking Policies
Every Mapiq environment has a configured booking policy determining how users can book. There are two different policies available. The check-in feature will respond differently based on the chosen policy, affecting the ability to create, change, or delete bookings.
