Registering New Users & Guests

Easily add new users and guests to your environment

Mapiq offers multiple ways to add users to your environment, including bulk imports via a CSV file, automatic creation upon sign-in, or manual individual account creation. Also, you can book workspaces for guests visiting your workplace. This article covers creating new users and guests and managing their bookings effectively.

Adding New Users

  1. Log in to the admin portal at https://admin.mapiq.com.

  2. You can go to the People tab.

  3. Click on "+ Add user."

  4. A new page opens where you can enter the new user's email address (mandatory) and select the quota and location profiles (optional).

    ⚠️ If you enter an email domain not configured in your environment, a warning message indicates that it is not recognized. You can still add the user despite the warning. Mapiq identifies users by their email addresses. If a user logs in with a different email address than the one registered, their account won't be linked, and Mapiq will create a new user automatically.

  5. Click "Add User" at the bottom to create a new user.

  6. The new user will appear under Users in the People tab.

An administrator can book workdays for the new user up to 4 weeks in advance.

Registering Guests

  1. Log in to the admin portal at https://admin.mapiq.com.

  2. Go to the People tab and click on "+ Register Guest."

  3. A new page opens where you can enter the visitor's email (mandatory), first and last name, phone number, and company (optional).

  4. Click "Register Guest" at the bottom.

  5. The guest will appear under Guests in the People tab and receive the default quota and location profile.

An administrator can book workdays for guests up to 4 weeks in advance. A guest remains active for 30 days after the last booking or creation date if no bookings have been made. Guests will be deleted automatically if no new reservations are created within 30 days.

Managing Bookings & Booking on Behalf of a Guest or User

In the Bookings tab, you'll find an overview of daily bookings. The Account column specifies whether a booking was made for a guest or user (active or inactive) account, and the Creator column shows who made the booking.

Once you've created a user or guest, you can also book a workspace on their behalf. This ensures that the building capacity count considers guests and new users.
