Setting Up Opening Days for Your Building(s)

Managing multiple locations with different schedules can be a daunting task. That's why we've created Opening Days, a feature that enables administrators to define which days specific buildings, floors, and areas are open or closed. This article will help you through the process of setting up opening days with ease.

⚠️ Before you can set Opening- & Additional Closed Days, navigate to the Buildings Tab and create a new building or choose an existing one.

Suppose you have an existing building while on the Buildings Tab, you can just select it from the left menu and click on the building name in the building overview. The screen below will appear on the right-hand side. The same panel will also be displayed automatically when creating a new building.

Here, you can specify which days your building should be open. Open days are highlighted with a blue circle, while closed days are gray and crossed out. You can also schedule additional closed days for special occasions like national holidays, general maintenance, or renovation.

Scheduling Additional Closed Days

While Opening Days sets the default schedule for your building, Schedule Additional Closed Days allow you to close specific workplaces and workspaces on particular days or periods. Access this feature by clicking the Schedule Additional Closed Days button beneath the Opening Days or by navigating to the Access Tab and scrolling down to Additional Closed Days.

To close your workplace or workspaces on certain days, follow these steps:

  1. Click "Edit" on the right side of the Additional Closed Days section.

  2. Adjust existing closed days or add a new one by clicking "+ Add Closed Day."

  3. Select the desired date or period in the Date column using the calendar view. Choose a single day or a multi-day period.

  4. Click "Confirm" to save the selected time frame for your closed days.

  5. Define the workplace(s) or workspace(s) to close by clicking "Edit Locations" under the Location(s) column.

  6. A multi-level overview of your building will appear. Unfold and check the desired building, floor, or area to close. You can also select "All Buildings" to close all buildings in your environment.

    ⚠️ Selections in Mapiq are represented through three distinct visual cues. A completed check mark signifies selecting a particular building, floor, or area. It is important to note that when a floor or area is selected, it automatically includes all the associated sub-floors and areas nested within it. A blue dash indicates a nested floor or area within the building has been earmarked for closure. On the other hand, an empty checkbox means that no selection has been made. Please remember to review your choices carefully to ensure accurate selections.

  7. Once your day(s) and location(s) are set, provide a reason for closure in the Reason column.

  8. Add clarification if needed in the Note column. These notes won't be visible to users.

  9. Save your changes by clicking "Save" in the top right corner of the Additional Closed Days section.

  10. If you're satisfied with your configuration, click "Remove Bookings" to publish the closed days and delete existing bookings.

⚠️ If bookings exist for the selected location and period, a calendar icon will appear next to the Edit Locations button. Hovering over this icon shows the number of shifts to be deleted when setting these days for closure.

⚠️ Note that no notifications will be sent to users whose bookings will be deleted. A notification system is under development, but for now, when closing buildings or areas, please inform your users about it to avoid confusion.
