Managing Records

The Records table puts you in control of your office's activity data. Clear out an employee's bookings after they've left, correct a mistaken group reservation, or bulk-remove an entire day's records after an unexpected office closure, all without touching each booking one by one. Delete individual records, bulk-select across multiple people, and let Mapiq handle the cascading connections between bookings, workdays, and check-ins automatically.

Admin roles and permissions

Access to the Records table and the ability to delete records depend on the admin role assigned to a user. The table below shows what each role can do.

The Records table is not accessible to users without one of these roles. The selection checkbox column is hidden entirely for roles without delete permission. The delete button in the delete panel is disabled for past dates regardless of role.

Deleting an individual record

  1. Go to the Records tab.

  2. Use the date picker, filters or search for the record(s) you want to delete.

  3. Make sure that you have selected the correct record and see which related records are also being deleted (if applicable, e.g. when deleting a Workspace Booking).

  4. Optional: Select other related records if they need to be deleted.

  5. Press Delete 1 record .

Deleting the records for one user

  1. Go to the Records tab.

  2. Use the date picker, filters or search for the record(s) you want to delete.

  3. Select the record next to the users name, it will automatically select all other related records for that user on that specific day.

  4. Press Delete X records.

Bulk delete records

  1. Go to the Records tab.

  2. Use the date picker, filters or search for the record(s) you want to delete.

  3. Press the select button in the top left of the screen next to the Person column, it will automatically select all records on the page you are viewing.

  4. Once a record is deleted it will be deleted for good, there is no feature to discard your changes.

  5. Press Delete X records.

Behind the scenes

  • Retroactive deletion is not possible — Bookings that have already taken place cannot be deleted after the fact.

  • Workspace and Parking bookings are no longer on separated — Workspace and Parking bookings are considered as records thus can all be found together on the Records table.

  • Bulk deletion is capped at 250 users at a time — A user can have more than one record per day, there is not a hard cap on the amount of records you delete.

  • Booking on behalf is done via the People tab — You cannot create bookings from the Records tab itself.

  • Deleting a workday booking removes all linked bookings — Any associated workspace and parking records are deleted along with it.
