The Here & Now page helps you easily navigate your building with an intuitive map and real-time room availability. By leveraging room occupancy, you can, ad-hoc, find a free meeting room in a matter of seconds. To ensure that the meeting room is yours and will not be occupied by your colleagues, you can quickly book a meeting room through the Here & Now page.


Applicable for

Since Here & Now is currently only relevant in combination with other functionalities, we have tied the visibility of the Here & Now tab to whether other functionalities are enabled.

The visibility of the Here & Now tab will stay the same once we add the map. This means the new Here & Now with the map will be available for all organizations that either have:

  • Only Hybrid Meetings (premium/enterprise)

  • Only Occupancy (add-on)

  • Both Occupancy and Hybrid Meetings

Room booking via Here & Now is only possible for bookable rooms, so that functionality is tied to Hybrid Meetings.


Book a meeting room

The room selection is slightly different per used device. However, the same room details screen opens after selecting a room. Review the Navigating the Map in Here & Now article for more info on device differences. The available rooms are visualized in the list view based on the occupancy data and active filters. You can review the articles Navigating the Map in Here & Now and Room availability & order logic to understand what rooms are available to you and the order in which they are presented. To quickly book a meeting room, follow the steps below:

  1. Open the Here & Now tab and select the room you want to book.

  2. A new window opens, showing all the room information available (e.g., room name, capacity, floor, building, availability (dependent on available occupancy source), suitable for, equipment, and the booking time and duration).

  3. Now you have two options. You can review more booking details by clicking on Booking details or directly book by pressing Book.

  4. When clicking on Booking details, you are presented with the same view as creating a new meeting event (review our Schedule an event article). The information on location, date, starting time, and duration are summarized above, and you can enrich your event by adding a title, message, adding invitees, and creating an online event link in case of a hybrid meeting.

  5. Finalize your booking by pressing Book.

Created bookings are visible and adjustable under your Calendar in your day overview, the same place where all your events are presented.
