Configure booking reminders

Mapiq supports organizations trying to make efficient use of available facilities and ensure the data is as reliable as possible to make decisions on. As organizations are looking for a more accurate idea of how their facilities are being used, they want to ensure employees update their bookings to reflect their actual plans and educate them not to book facilities they do not intend to use.

What is a booking reminder?

A booking reminder is a reminder to the end-user of Mapiq reminding the user that they have a booking coming up. A reminder is triggered when a threshold is reached that applies to the floor occupancy. The threshold is set at a percentage level (0% - 100%) of the floor occupancy.

Note that the reminder applies to the booked floor where the user but the threshold is set for the whole building!

For example, imagine a floor with a capacity of 100, and the threshold is set to 70%. It means that a reminder is sent to the user when more than 70 bookings are created for that specific floor.

Be aware that even though administrators can set notification reminders, users can control what notifications they want or do not want to receive. Refer to our Managing app notifications article to learn more about the possibilities.


Configuring the booking reminder

Administrators can enable booking reminders per building. To do so, the steps below can be followed:

  1. Go to https://admin.mapiq.com >> Settings >> General >> Edit.

  2. Scroll down until you find the Booking reminders, and press + Add to add booking reminder.

  3. Click on the locations under Buildings, and you're presented with all the buildings in your subscription (non-published buildings or buildings that already have a rule applied are greyed out). Select all the buildings you want to apply the same threshold to and select Confirm.

  4. Set the occupancy threshold for when you want the booking reminder to appear.

  5. Scroll up where you pressed Edit and press Save to finalize your changes.


Edit a booking reminder

Once you have reminders active, you can edit the existing reminders easily. Press Edit under Settings >> General and scroll down to the booking reminders. You can now follow the exact same steps as creating a new booking reminder and finalize by pressing Save.


Delete a booking reminder

Identical to editing a booking reminder, go into the editing screen under Settings >> General. Behind each booking reminder rule, a thrash can icon can be found. Click on the icon and press Save to delete the booking reminder.


Best practices

Mapiq advises setting the threshold to 70%. This is when employees start to experience the work floor as getting too crowded, and they might decide not to come to the office as it's too busy. The admin is warned by Mapiq when the threshold is set above 70% and when the threshold is set to 0%. When the occupancy is set to 0%, users will receive a notification practically every day and it can be found as annoying or disturbing.

Explanation

On peak days this will potentially send out more reminders than desired. Please check the analytics report for the actual number of bookings notified.

Regardless of the actual occupancy, this will send out reminders for each booking made at least 2 days in advance. Users might turn off notifications when experienced as disturbing.
