Setting up external links that automatically populate with Mapiq data can significantly streamline your workflows and improve the user experience. Whether you're directing users to a Microsoft Form or sending out a pre-filled email, using data fields ensures that relevant information—like names or locations—is already in place when your users interact with the resource. Here’s how to set up a Microsoft Form that’s ready to receive Mapiq data.
Linking Microsoft Forms with Services
Follow this guide step-by-step to get the correct data into your Form.
Create a Service in Mapiq
Before you can link a form to a service you first need to create a Service to link to.
Determine for what Service you want to create a form and press + Add to create a new Service.
Fill in the necessary information (e.g., Name, Description, Locations) and under Resource select Microsoft Forms.
You're now setup to create and link a Microsoft Form.
Create a Microsoft Form
Start by building your Microsoft Form as you normally would. This form will serve as the destination for your users and needs to be structured to accept pre-filled data from Mapiq. Start here.
Get a Pre-filled URL
Once your form is ready, open it in Microsoft Forms.
Go to Settings
Click “Get Pre-filled URL”. This generates a link that allows you to pre-populate specific fields in the form.
Fill Your Form with Mapiq Data Placeholders
Now, insert Mapiq data placeholders into the form fields. These placeholders will be replaced with actual data—like the user’s name or location—when the form is accessed.
To learn which data fields are available and how to use them effectively, check out our article on best practices for Mapiq data fields.
Configure Your Pre-filled URL in Mapiq
After adding the placeholders, click “Get Prefilled Link” again to generate the final URL.
Copy this link
Paste it into the appropriate field in your Mapiq service configuration
You can also click “Run test” to preview the form before publishing it to your colleagues. This helps ensure everything is working as expected before going live.
