Configure quota profiles to define workspace allocation and optimize availability

Workspace quota profiles help manage and organize user access to workspaces. This article will guide you through setting up workspace quota profiles in Mapiq.

Setting Up a Workspace Quota Profile

A default quota is already created when using Mapiq for the first time. By default, users are associated with the default workspace quota profile. Users must always be assigned to a profile.

Before configuring, consider the following.

  • Do I need to separate users into different groups, such as priority groups or departments relying on office spaces?

  • Is my building open on weekends?

  • Is advanced booking necessary, or will a few days ahead work?

After you figure out your organization's needs, you can configure the appropriate profiles. Depending on your requirements, you can modify the existing default profile or create new ones.

Follow these steps to configure workspace quota profiles:

  1. Open the admin portal (https://admin.mapiq.com) and navigate to the Access tab.

  2. Go to Quota profiles and click "Edit."

  3. Click "+ Add profile" to create a new profile if needed.

  4. Rename the profile for easy recognition. We recommend using a descriptive name related to a department or user group.

  5. Select the "Week quota" by clicking the drop-down menu and choosing the desired number (maximum of 7 days).

  6. Set the Days ahead to determine how far in advance users can make a booking (minimum of 1 day, maximum of 3 weeks).

  7. Finally, select "Allowed days" to limit the days in the week this group can book. Enabled days will have a blue circle around them, while disabled days will be greyed out.
