Adding a Workspace booking

You're heading into the office, Mapiq makes it simple to organize your day. With just a few clicks, you can reserve a workspace that fits your needs—no more guesswork or last-minute scrambles. Mapiq helps you stay connected with your team and ensures you always have the right spot to get things done. From full-day bookings to flexible timeslots, you’re in control of how and where you work. Let’s walk through how to book your workspace and make the most of your office experience.

Book your Workday first

A workspace booking in Mapiq secures a specific desk or area within an office for your workday. You can only book a workspace after setting your workday status to At the office . Refer to our article Adding a Workday booking for more information.

Depending on your organization's setup, you may book a specific desk or a general area, with optional timeslot flexibility. Finally, it's good to be aware that a workspace booking can be mandatory depending on the Office Policy set. Refer to our article Workspace and Workday Bookings for more information.

Making a Workspace booking

When creating a workspace booking you can run into different flows, depending on the configuration setup by yourself (automatic or manual booking), by your organization (mandatory or optional desk booking) and through what interface you accessed the booking flow (Week overview or Day overview).

In the sections below we'll dive into the different options to book your Workspace.

A Workspace booking will always be within the context of a Workday booking. As stated, a Workday booking needs to be booked prior to booking a Workspace. Additionally, if your Workday consists of time slot bookings, then a Workspace will always need to be booked within the start- and end time of the Workday booking.

Booking through the Week overview

When booking through the Week overview Mapiq can use the automatic an manual booking flow. In combination with a mandatory or optional workspace booking policy, different booking flows are presented to you. The four different scenarios are explained step-by-step.

Automatic booking and Mandatory Workspace booking

  1. Log in to the Mapiq app and navigate to Plan .

  2. On both the mobile and web app, the Week overview is presented.

  3. Select the day you're working from the office, and click on At the office .

  4. Based on your booking preferences a spot is found. To give you confirmation, the icon changes from to with the specific workspace name displayed next to the icon.

Automatic booking and Optional workspace booking

  1. Log in to the Mapiq app and navigate to Plan .

  2. On both the mobile and web app, the week overview is presented.

  3. In the row of the day you're working from the office, click on At the office .

  4. Based on your booking preferences your office is selected and a booking is created. To confirm this, the icon changes from to .

  5. As a workspace is optional, you are presented with a choice to book a Workspace. In case a Workspace is desired click on the desk icon to add a Workspace. A Workspace is automatically selected based of your preference.

  6. Confirmation of your found spot is given as the icon changes to the specific location.

Manual selection and Mandatory workspace booking

  1. Log in to the Mapiq app and navigate to Plan .

  2. On both the mobile and web app, the week overview is presented.

  3. In the row of the day you're working from the office, click on At the office .

  4. Based on your booking preferences you need to manually select the workspace you want to work from. Click on area workspace under Workspace.

  5. Select the workspace you want to work from for that day.

  6. If desired you can create a time slot booking directly from the flow by selecting Time. Set a start and end time.

  7. Save your booking.

  8. Confirmation of booked workspace is given, as the icon desk changes to the specific location .

Manual selection and Optional workspace booking

  1. Login to the Mapiq app and navigate to Plan .

  2. On both the mobile and web app, the week overview is presented.

  3. In the row of the day you're working from the office, click on At the office .

  4. Based on your booking preferences your office is selected, or needs to be selected first, and a Workday booking is created. To confirm this, the icon changes from to .

  5. As a workspace is optional, you are presented with a choice to book a workspace. In case a workspace is desired click on the desk icon to add a Workspace booking.

  6. As your workspace selection is set to manual, you'll have to select a specific workspace. Click on area workspace under Workspace.

  7. Select the workspace you want to work from for that day.

  8. If desired you can create a time slot booking directly from the flow by selecting Time. Set a start and end time.

  9. Save your booking.

  10. Confirmation of booked workspace is given, as the icon changes to the specific location .

Booking through the Day overview

You can also book a workspace via the Day overview, which allows multiple bookings for the same day. This method uses the manual booking flow, automatic booking is skipped. If there are multiple time slot bookings, you’ll need to select the relevant Workday booking, as Workspace bookings must be linked to one. Follow the steps below to create a Workspace booking through the Day overview:

  1. Login to the Mapiq app and navigate to Plan .

  2. On both the mobile and web app, the Week overview is presented.

  3. Select the day you want to book a workspace for.

  4. Make a Workday booking first if not yet booked. In case multiple Workday bookings are created for that day, select the Workday you want to book a Workspace for.

  5. Select + Add booking > Workspace to start booking your workspace.

  6. Select the workspace you want to work from for that day.

  7. If desired you can create a time slot booking directly from the flow by selecting Time. Set a start and end time.

  8. Save your booking.

  9. Confirmation is given by a small map indicating your Workspace location on the Day overview.

No suitable suggestion

When no suitable suggestion can be found, Mapiq informs you of this. The app either provides you an alternative on the same floor or you'll need to manually book another workspace. Follow the according flow as outlined in the sections under Making a workspace booking.

In case the booking policy in your office is set to Optional workspace bookings, and no suitable suggestion can be given, note that your office is selected! You only need to manually book the workspace.

⚠️ Each workday needs to be booked individually. There is no option to book your entire week with one click.
