Adding a Workday booking

Coming to the office knowing that you don't need a desk to work at? Book a Workday to indicate that you are still coming to the office, you are working remotely or you're not coming to the office at all. A Workday booking is ideal for those busy days when you're only in meetings and actually don't need a desk. Additionally, it helps your colleagues understand where you will be that specific day.

Workday location options

Mapiq allows you to make three different type of bookings. Clarify where you will be working by choosing either of the three options outlined below.

Mandatory workspace bookings

Administrators of your environment set an Office Policy per building. This Office Policy dictates whether you're required to book a workspace or if it's optional. This is referred to mandatory or optional workspace booking. A workspace booking is a specific spot to work from at the office you made a Workday booking for.

Booking a Workday

Workday bookings can be booked in three ways:

  • Through the week overview.

  • Through the day overview.

  • Through the + Add booking button on the day overview.

In the sections below we'll highlight the options available to you through the different flows.

Booking a Workday through the Week overview

  1. Login to the Mapiq app and navigate to Plan .

  2. On both the mobile and web app, the week overview is presented.

  3. On the chosen day create a Workday booking by:

    1. Selecting Not working to indicate you're not working on that day.

    2. Selecting Remotely to indicate you're working on a location outside the office.

    3. Selecting At the office to indicate you're working from a specific office.

In case you selected to work from the office, and you have set a preferred building and allowed Mapiq to book automatically for you, your office is chosen automatically. In case you did not allow Mapiq to book automatically for you, you'll need to select the office you're going to work from. Do this by:

  1. Selecting the office from the dropdown menu Building.

  2. Set a start- and end time if desired.

  3. Finalize the booking by pressing Save.

In case Mandatory Workspace booking is enabled, you'll need to book a spot to work from in the chosen office before you can complete your booking.

Booking a Workday through the Day overview

  1. Login to the Mapiq app and navigate to Plan .

  2. On both the mobile and web app, the week overview is presented.

  3. Select the day you want to make the booking for.

  4. At top of the day select either of the following Workday options:

    1. Select Not working to indicate you're not working on that day.

    2. Select Remotely to indicate you're working from a location outside the office.

    3. Select At the office to indicate you're working from the office.

In case you selected to work from the office, specify the office you're going to work from. In contrary to the Week overview booking flow, this flow does not allow automatic Workday bookings.

Similarly to the other flow, if Mandatory Workspace booking is enabled, you'll need to book a spot to work from in the chosen office before you can complete your booking.

Booking a Workday through +Add booking in the Day overview

  1. Login to the Mapiq app and navigate to Plan .

  2. On both the mobile and web app, the week overview is presented.

  3. Select the day you want to make the booking for.

  4. Click on + Add Booking and select Workday location.

  5. A day schedule is presented, visualizing all your bookings (workspace, meetings, parking and workday ) for the day. Here you can set the Workday location from the dropdown menu:

    1. Select Not working to indicate you're not working on that day.

    2. Select Remotely to indicate you're working from a location outside the office.

    3. Select At the office to indicate you're working from a specific office

      1. Set a start- and end time if desired through the dropdown menus next to Time.

      2. Select the office you'll be at by selecting it from the Building dropdown menu.

  6. Select Save to finalize your booking.

Also here a workspace booking is required when the Mandatory Workspace policy is enabled before you can complete your booking.

Full day or timeslots bookings

Mapiq allows you to schedule a flexible workday. That means you can make a time slot booking to indicate, for example, that you'll be working from home in the morning and in the office in the afternoon. With a time slot booking you add a starting- and ending time to your Workday booking. Certain flows, however, skip the option to select a time slot. As an example, the automatic booking flow will, by default, always book a full day. The Workday booking flows listed below indicate flows in which you're not presented with the option to adjust a the time slot.

  • Booking any Workday through the week overview. Note that for the option At the office, the time slot is not presented if you have enabled the automatic booking flow.

  • Booking any Workday through the Day overview.

Mapiq allows you to edit any Workday booking after it's been created allowing you to adjust your start- and end time.

Important to be aware off, is that Workspace bookings inherits the time slot set for the Workday booking. In case Mandatory Workspace booking is enabled, the selected time slot will be transferred to you workspace booking. Within a Workday At the office booking it is possible to have multiple Workspace bookings. Refer to our article Adding a Workspace booking.

Editing or deleting your Workday booking

After you have successfully created a Workday booking, it can occur that your office plans change and you need to edit or delete your Workday bookings. For both the deleting and editing flow a full day or multiple timeslots Workday booking need to be considered.

Editing or deleting a full Workday booking

  1. Open the Workday booking either by selecting it through the Week overview or the Day overview by clicking on the Workday icon.

  2. A new window opens with the options to delete or edit.

    1. Simply press Delete to remove your Workday booking.

    2. If you want to edit, select Edit and adjust your Workday booking accordingly. You can adjust:

      1. Your workday location.

      2. The office you're working from.

      3. The start- and end time of your Workday.

      Press Save to finalize the edits.

Editing or deleting a Workday booking with multiple timeslots

  1. Select the desired Workday to edit or delete by selecting it through the Week overview or the Day overview by clicking on the Workday icon of the timeslots booking you want to adjust. Clicking on the Workday icon in the Week overview will open the Workday booking in which your current time falls.

  2. A new window opens with the options to delete or edit.

    1. Simply press Delete to remove your Workday booking.

    2. If you want to edit, select Edit and adjust your Workday booking accordingly. You can adjust:

      1. Your workday location.

      2. The office you're working from.

      3. The start- and end time of your Workday.

      Press Save to finalize the edits.

  3. Repeat step 1 and 2 in case other time slot bookings need to be edited or deleted.

When editing a Workday booking with multiple timeslots on the same day, it's good to be aware that Mapiq will give warnings when conflicts arise due to overlapping Workday bookings or underlying bookings (Workspace or Parking bookings).

Depending on the action taken you might need to resolve the conflict first before being able to completely edit your booking.
