Nowadays, hybrid working has become a standard for many companies. Hybrid working gives you flexibility but also brings its own challenges. Is it smart to come to the office today? Where and when are my colleagues going to be working from and can we collaborate? To help you plan your working day, Mapiq allows to effortlessly indicate your plans for the day. Working from home in the morning and need a desk in the afternoon? No problem! By combining workday and workspace bookings Mapiq allows you to tailor your day to your needs.
Workdays
The term workday might is of course very straightforward, it will be day you're going to be working. Mapiq offers you to book your workday, what does that mean exactly? A workday booking consists of two elements:
Your workday status
Your workday location
Workday status
A workday status indicates if you're going to be working At the office
, Remotely
or Not working
at all. It states if you're having a workday. By setting your Workday status.
Workday location
A workday location refers to the office you'll be working from. An office needs to be specified when your workday status is set to At the office
. Depending on your needs, you can book an additional spot in the office (desk or area) or keep the booking as is (in case you're only at the office for meetings).
Depending on the set policies by your administrators, it can be that it's necessary to book a mandatory spot in the office (desk or area). Refer to the section Mandatory or optional bookings for more information.
Workday timeslots
Mapiq allows you to book multiple timeslots per day. When making these type of bookings, you can specify that you're going to be working remotely in the morning, and in the office in the afternoon. In scenarios like these, you make multiple workday bookings for a given day.
By default, Mapiq will always create a full day booking within the selected office. If you need a timeslot booking, then this needs to be adjusted during the booking flow.
A workday booking
A Workday booking in Mapiq defines your working status (At the office, Remotely, or Not working) and your location for that day, with optional flexibility to split the day into multiple timeslots (e.g., remote in the morning, office in the afternoon).
Workspaces
Where a workday booking indicates if you're going to be at the office or not, a workspace booking secures you an actual spot to work from in the office. This requires you to have made a workday booking with the status set to At the office
.
The workspaces presented to you are bookable spots within your selected office. Mapiq offers two different workspace type bookings:
Area booking
Desk booking
Administrators often configure office workspaces according to their workplace strategy, which means that within the same office, or even on the same floor, you may find zones set up for area bookings, while others require you to reserve a specific desk.
Area booking
An area booking is a booking that allows you to pick any desk upon arriving at the office. You book for an area but not a specific desk. This is often ideal for offices with flexible or hybrid working policies or landing spots for in between meetings. In the app this is indicated as Any available desk
after selecting the area.
Desk booking
A desk booking is a booking in which a desk will be assigned to you after selecting the area you want to work from. You often see that a desk booking policy is adopted for creating focus spaces or dedicated team spaces. When you have selected a desk booking area, the app automatically suggests a desk to you (which can be adjusted) indicated by the desk name underneath your selected area.
Workspace timeslots
When making a workspace booking, Mapiq allows you to create timeslots bookings. For example, you're going to be in meetings all morning, you can create a timeslot booking indicating you only need a desk for the afternoon. A timeslot workspace booking is always within the context of your booked workday. Assume you are working remote in the morning and in the office in the afternoon, then your workspace booking only applies for the afternoon you'll be in the office.
By default a workspace booking set as a full day booking, or the full period within your workday timeslot. If you desire a timeslot booking, make the necessary adjustments when creating your workspace booking.
Mandatory or optional bookings
Administrators can set workspace booking requirements for each building. If workspace booking is mandatory, you must reserve a workspace, either a desk or an area, after indicating that you'll be working at the office. You cannot simply mark your presence without a booking.
If workspace booking is optional, you can choose whether or not to reserve a workspace.
