Managing Workday and Workspace Bookings

The Bookings tab is your go-to place for staying in control of office reservations. Filter and view booking data across all your offices, spot irregularities, and keep your workspace data accurate, all from one place. Whether it's a no-show or a last-minute change, admins can delete individual bookings or clean up in bulk to free up space for colleagues who actually need it.

What admin roles can adjust bookings?

Not all admin roles have the same level of access to the Bookings tab. Here's an overview of who can view and who can also make changes:

View & edit (delete) bookings

  • Subscription Administrator

  • Building Administrator

  • Booking Administrator

  • Booking Assistant

View only

  • Booking Host — can access and filter the Bookings tab, but cannot delete bookings.

Deleting a single booking

Workday and workspace bookings are displayed together in a single row in the Bookings tab. The difference is visible in the columns: a workday booking leaves the Floor, Area, and Desk columns empty, while a workspace booking has these (partly) filled in. To delete a single booking:

  1. Go to the Bookings tab.

  2. Use the date range, filters, or search to locate the booking you want to remove.

  3. Click on the checkbox in front of the booking you want to delete.

  4. Click Delete in the right top (above the booking table).

  5. Confirm by clicking Delete in the prompt that follows.

The affected user will be notified in Mapiq that their booking has been deleted.

Bulk deleting bookings

When you need to clean up multiple bookings at once, for example after an unexpected office closure or a wave of no-shows, bulk deletion saves time.

To bulk delete bookings:

  1. Go to the Bookings tab.

  2. Apply filters to narrow down the results to the bookings you want to remove. This is important, see the note below.

  3. Click on the checkbox in front of the bookings you want to delete, or check the checkbox in the column header to select all bookings across all pages.

  4. Click Delete in the right top (above the booking table).

  5. Confirm by clicking Delete in the prompt that follows.

You can only delete 30 bookings at a time. Selecting all via the column header checkbox selects bookings across all pages, not just the visible ones. If your selection exceeds 30, the deletion will not go through. Use filters to reduce your results to 30 or fewer before selecting all.

Behind the scenes

  • Date range supports past, future, or a combination — useful for cleaning up upcoming bookings or reviewing historical data.

  • Maximum date range is 60 days — selecting a wider range is not supported. In case the retention period is less than 60 days note that you can only go back as the set retention period.

  • Retroactive deletion is not possible — bookings that have already taken place cannot be deleted after the fact.

  • Bulk deletion is capped at 30 bookings at a time — use filters to keep your selection within this limit before deleting.

  • Booking on behalf is done via the People tab — you cannot create bookings from the Bookings tab itself.

  • Deleting a workday booking removes all linked bookings — any associated workspace and parking bookings are deleted along with it.
